Guest Service Agent – Guest Relations

Meets and greets all guests upon arrival and departure
Escorts VIP guests to their allocated room and explain the facilities and room features
Maintains regular contact with the guests
Obtains guest feedback on their stay in the hotel. If complaints arise, takes immediate actions to remedy the situation.
Records daily activities and complaints in the guest relations logbook and informs the respective department heads for immediate actions
Maintain an up-to-date knowledge of the hotel services, supply information and respond to guest queries
Ensures that, whenever possible, guests receive personal recognition
Inspects VIP room status and ensures that amenities are in good order prior to guests’ arrival
Maintains an active presence in the hotel lobby to greet and assist incoming guests
Give courtesy calls and complete the call log for Performance Monitor daily
Promotes inter-hotel sales and in-house facilities and is aware of banquet events, hotel facilities, Spa, F&B outlets, special promotions for the purpose of assisting guests and offering accurate information
Assists and coordinates with Front Office reception to ensure consistent service
Handles guest complaints immediately and follows up thoroughly
Review of related reports such as arrival report, VIP report etc.
Prepares and coordinates the distribution of guest amenities, welcome letters and setups for VIPs.
Coordinate with concerned departments, all special requests such as honeymoon amenities, birthday or any special occasions
Handling My Millennium enrollment and ensuring that each guest is credited properly for his/her points after departure
Handling My Millennium weekly report and monthly charge back report
Assisting the Duty Manager /shift leader in blocking VIP arrival rooms and communicating with F&B following the standard procedure
Assisting for group arrivals with coordination of the Duty Manager/ Shift leader, ensure clean rooms are allocated, keys, registration materials are prepared, welcome drinks/reception arranged and registration area assigned
Assisting to maintain group files for arriving groups and ensures correct information is received for group profile
Maintain an awareness of competition rates and occupancy levels
Promotes inter-hotel sales and in-house facilities such as our restaurants and Spa
Passing sales leads to the Sales Department and the Front Office Manager
Maintain regular and effective liaison between Front Office and other departments with particular emphasis on Housekeeping
Handling show rounds for all guest and coordinate with sales if any group requires show rounds
Ensure that all information of guests’ preferences is updated in their profiles
Maintain effective communication with all Front Office sections and the hotel departments
To ensure banquet functions are rightly mentioned on the lobby posting

Qualifications

Qualifications
Degree/Diploma in Hotel Management or related field
Minimum 1 year of experience in a similar capacity
Must have working knowledge of Opera
Good command of English is a must. Arabic is an advantage.
Must be well presented and professionally groomed at all times
Strong interpersonal skills and attention to detail
