Operations Officer
Relationships Scope:
- Line Relationships:
Reports To: Operations Manager
Supervises: None
- Functional Relationships:
Reports To: Internal Office Manager- Operations Manager – Inventory Manager
Coordinates with: Customer Service Department, Sales Department and Storekeeper.
- External Relationships: Suppliers, MI offices, Clearance Agents, Courier Companies.
. Main Function:
To manage the physical inventory and keep it at its optimum level.
. Duties & Responsibilities & Standards of Performance:
1.Responsible for having an updated situation of the inventory at all times.
2.Responsible for placing orders with the supplier according to company protocol and in coordination with sales department according to sales targets and offers.
3.Responsible for coordinating with clearance agents regarding items clearance from customs till full receipt to the office.
4.Responsible for physical counting of all incoming items and insuring they match the description of request.
5.Responsible for clearing any mismatching items with suppliers and/or customs.
6.Responsible for data entry of all incoming and outgoing items on the software and as per their groupings, except for sales orders.
7.Makes sure the near-expiry items are separated from the far-expiry ones.
8.Responsible for processing returns.
9.Works on and provides sales team and management with item turnover analysis.
10.Keep the sales & IOM updated regarding the near expired goods by providing them with weekly reports
11.Conducts continuous physical count of inventory and reports to IOM.
12.Is responsible for any losses or additions in stock items.
13.Responsible for following up on items in consignment via following up with the sales team, making sure the consignments are retrieved before reaching near-expiry or sold and providing updated reports at all times.
14.Responsible for supporting the customer service department by supplying their pending orders through communication with other offices (for more details, see procedures for pending orders)
15.May be assigned additional operational assignments related to company work such as assisting in printing banners and brochures, listing brochures, magazines, renewing subscriptions.
16.Prepares & submits a daily report about his daily activities & achievements & submits it to his supervisor.
. Knowledge:
a. Educational Background:
Bachelor Degree of Business Administration, Economics, public administration or equivalent.
b. Specific Knowledge:
Good knowledge of all the company items.
Knowledge. of operating software & items division.
Good knowledge of English language.
