Main responsibilities:
- Oversees and administers the day-to-day activities of the office to ensure productive and efficient office operation.
- Serves as a primary point of direct administrative contact and liaison with other functions and individuals, and external institutions and agencies
- Sets up and maintains filing systems
- Compiles statistics and other information
- Organizes and facilitates meetings, conferences, and other special events, as required.
- Collates papers for meetings, prepares and circulates agendas, and sets up presentation equipment
- Oversees the operation of office accounts, and plans and monitors expenditures; as appropriate.
- Greeting and assisting visitors, handling phone calls and inquiries, scheduling and maintaining calendars and travel arrangements, screening, analyzing, and preparing responses to incoming correspondence, handling day-to-day public relations.
- Assist the Division Chief in budget preparation
- Assist the Division Chief in following up the assigned tasks
- Control over the maintenance contracts of IT related Hardware and Software.
- Monitor the Annual Leave, Medical leave etc of the Division.
- Monitor and maintain stationeries requirements of the division.
- Assists in special projects, as appropriate.
- Performs any other duties as and when required
