    Job Title : Administrative Assistant
    Reporting To : Division Chief

    Overview:
    The position holder is responsible for the overall administrative, planning tasks, and follow ups.

    Main responsibilities:
    • Oversees and administers the day-to-day activities of the office to ensure productive and efficient office operation.
    • Serves as a primary point of direct administrative contact and liaison with other functions and individuals, and external institutions and agencies.
    • Sets up and maintains filing systems.
    • Compiles statistics and other information.
    • Organizes and facilitates meetings, conferences, and other special events, as required.
    • Collates papers for meetings, prepares and circulates agendas, and sets up presentation equipment.
    • Oversees the operation of office accounts, and plans and monitors expenditures; as appropriate.
    • Greeting and assisting visitors, handling phone calls and inquiries, scheduling and maintaining calendars and travel arrangements, screening, analyzing, and preparing responses to incoming correspondence, handling day-to-day public relations.
    • Assist the Division Chief in budget preparation.
    • Assist the Division Chief in following up the assigned tasks.
    • Control over the maintenance contracts of IT related Hardware and Software.
    • Monitor the Annual Leave, Medical leave etc of the Division.
    • Monitor and maintain stationeries requirements of the division.
    • Assists in special projects, as appropriate.
    • Performs any other duties as and when required.
